The implementation of a continuous professional development programme

Professional Solutions has extensive experience in bringing together public and in house events of varying sizes. Our hands-on experience has taught us a great deal about the strengths of efficient planning, and the challenges that may arise when planning and delivering workshops. We have over time perfected a systematic approach to the delivery and planning of workshops.

Facilitator management
The PSSL administration team is in continuous interaction with the facilitators to ensure that we understand their requirements and make the necessary resources available. We ask for information on the facilitators' expectations from the venue including room layout, scenario planning and equipment which they may require to be able to deliver the workshops in the manner they intended. We also request their travel and accommodation preferences were applicable. Throughout the whole process we remain a support structure for the facilitator, allowing us and them to fully understand expectations and logistics.

Delegate management
With a fully integrated CRM system we can input all queries allowing us to manage and return to potential delegates.

Our CRM system also allows for an easy to manage delegate relationship process. Delegates have the opportunity to book onto the workshops as firm or provisional either over the phone, through our secured website, or by faxing/posting a booking form or intention to book.

Once inputted into our system the bulk of the administration is triggered by actions set within the CRM creating invoices, confirmation emails, reminders, changes, and correspondance in simple steps. As CRM is linked to SAGE our accounts department can also access it to monitor invoicing and payment, allowing for efficient management of overdue items and bad debts.

It also allows us to search and monitor the demographics, job roles and organisations which are most actively booking, feeding this into our summary reports and marketing campaigns.

Venue management
With extensive experience in sourcing venues PSSL knwo what to look for and the questions that need to be asked. By taking an overview of the workshop programme and talking to our facilitator we can ensure that we provide the right venue. Typically, and not exclusively, PSSL considers:

• geographic location: ease of access from public transport, parking, directions
• venue atmosphere: modern, hotel, traditional, conference centre or seminar room, venue access
• room: room layouts, lighting, heating/air conditioning, breakout rooms
• accommodation: proximity to suitable accommodation, liase with hotels for special rates
• catering: hot/cold food, tea and coffee, water
• stationery: pens, paper, flipboards, board markers
• contracts: costs - room hire/per delegate, notice periods, health and safety considerations, insurance
• technology available
• customer services

Logistics
PSSL bring together the course material to create professional delegate packs. With an in house resource pool and long standing relationships with our printers we have the necessary tools to create packs which best communicate the objectives of learning for the long-term.

PSSL also owns its high specification equipment including DVD/HD and Video Cameras, microphones, visualisers, projectors, laptops, sound systems, and IT equipment; and have long standing relationships with firms that can provide equipment rental should the need arise.
